Do you know what your service agreements add up to right now: licence, support and add-ons, minus discounts? If the answer lives in a spreadsheet, it is probably already out of date. In this video, we show you how to get a total that updates itself on every contract in .legal.
You will see how to create amount fields for the licence, the support fee and the add-ons, and how to build a calculated "Total amount" field that adds them up and subtracts a discount. The field goes on the contract template, so the total is locked and calculated on every contract made from it. When a price goes up or down, the total follows straight away, and nobody has to correct it by hand.
Finally, the video shows how to add the total as a column in the contract overview and save it as a view, using the same filters and custom views you may already use. The result is one list of all your service agreements with a current total for each, without a spreadsheet to maintain. For more on running a contract portfolio, see our guide to contract management.
FAQ
What is a calculated field in .legal?
A calculated field is a contract input field whose value is worked out from other number and amount fields on the same contract template. You write the formula yourself, and the total updates on every contract when one of the figures changes.
Which calculations can the formula do?
The formula can add, subtract, multiply and divide, and you can use parentheses to group parts of it. It can include number and amount fields, with or without decimals, as long as the fields are already on the template.
How do I include a discount?
Create a number field for the discount, add it to the template and subtract it in the formula, for example (Licence + Support fee + Add-ons) minus Total discount. When the discount is filled in on a contract, the total is recalculated straight away.
Can someone overwrite the total on a contract?
No. The calculated field is locked on the contract, so nobody can type over the total by hand. It always follows the formula and the fields it is built from.
How do I see the total value across all my contracts?
In the contract overview, select Edit column view and add the calculated field as a column. Filter the list, for example on your service agreement template, and save it as a view so you can return to it later.
What do I need to use calculated fields?
Calculated fields require the Templates and Custom Fields add-on. The help article walks through the setup step by step.
