Policy library and other new features

We are excited to announce several new features in Privacy, which will significantly improve the efficiency and intuitiveness of your documentation process. These new features will enable you to:

- Store your policies in Privacy

- Link a policy and a processing activity

- Give your processing activities a status

- Upload your agreements with a third party or data processor directly into the processing activity flow

- Create your own descriptions for the steps in the processing activity flow

Storing your policies

Policies

One of the goals of Privacy is to provide you with a single place to store your GDPR documentation, including your policies. Already today, you can get an overview of which policies and procedures you need to keep up-to-date using your annual wheel in Privacy.

However, we realised that it can be challenging to get a comprehensive overview of all your policies in one place. And one of the other goals of Privacy is that you can always get a quick overview of your documentation. Of course, we want to make that overview available to you and your colleagues, which is why are introducing a brand-new module called "Policies" in Privacy. The new module offers a document library where you can easily store all your policies and procedures, providing you and your colleagues with a quick and easy way to access and review them. 

Moreover, the module allows you to link your policies and procedures directly to your processing activities. By doing so, you can easily track where and when you utilise each policy in your documentation.

Status of your processing activity

Do you prefer to work on your process descriptions in stages or do you have a need to archive a processing activity without deleting it permanently? 

If so, you will be happy to know that our new processing activity status feature allows you to do just that. You can now set a processing activity to be a draft or to be in the archive. In either case, you will still have access to your documentation, but drafts and archived processing activities won't be included in your records. This can be especially helpful for those who want to work on process descriptions over time or need to keep a record of past activities without cluttering up their current ones. 

Upload appointments in the processing activity flow

Upload data processor in flow

When documenting transfers to a data processor, it is often necessary to upload the data processor agreement simultaneously. In Privacy, you can do this by navigating to the data processor and uploading the agreement there. 

However, we want to make things even more convenient for you. That is why we introduce a new feature that allows you to upload the agreement directly in the processing activity flow. This means you no longer have to switch back and forth between different pages, saving you valuable time and streamlining the documentation process. 

Create your own help texts in the processing activity flow

Custom help text

 

We work a lot with built-in help and guidance in Privacy with the aim of creating GDPR documentation that does not become a confusing and difficult task. To ensure that all aspects of our platform are well-described, we have included various help texts, videos, and other resources that we regularly update and refine. 

However, we recognise that there may be situations where you, as a GDPR manager, need to communicate additional information to your colleagues while they document processing activities. To address this, we have added a new feature that allows you to write custom help text for each step of the processing activity flow. In this way, you can provide your colleagues with tailored guidance that is specific to your organisation's needs.
