Release: Contract Management Updates, Policy Linking and System Notifications - February 2026 🚀
We're excited to share our February updates, focused on making contract management more efficient and giving you better control over access permissions. This release includes new ways to automate obligations, ensure data quality at contract creation, and link policies directly in your task documentation.
Obligation Templates Linked to Contract Templates
You can now connect obligation templates to contract templates, streamlining contract creation when certain obligations should always accompany specific contract types.
How it works: In Settings > Master Data > Obligation Templates, link an obligation template to one or more contract templates. When creating a contract using that template, the linked obligations appear automatically.

You can set obligations as:
- Required: Must be included to create the contract
- Optional: Available to add but not mandatory
Relative Dates: Obligation templates can use dates relative to the contract start and end dates. For example, "Start 1 day after contract start date" or "End 2 days after contract end date."
When creating the contract, you'll see the linked obligations with their dates automatically calculated based on the contract dates you enter. You can review and adjust all details before finalising.

Add Obligations Later: If you skip optional obligations during creation, you can add them afterwards using the "Add obligation" button, which now shows both standard templates and linked templates for that specific contract template.

Bulk-transfer Business Area Access on Contracts
We've added a new administrative capability for managing business areas across contracts.
Transfer Business Area Access: Administrators can now bulk-transfer business areas from one area to another across all contracts. When you reassign access, users in the new business area automatically gain access to the affected contracts, provided they also have access to at least one of the associated group companies. This is useful when restructuring business areas or consolidating departments.

Access this function through Settings > Administrative Functions. Select the source business area and target business area, then confirm the transfer. The system updates all affected contracts.
Required Fields at Contract Creation
You can now mark contract template fields as "Required at creation" to ensure critical information is captured before a contract is created.

How it works: When configuring your contract templates, mark any standard or custom field as "Required at creation". When users create a contract using that template, they must complete these required fields in the creation dialog before the contract can be saved.
This ensures essential contract data is captured from the start, reducing incomplete contracts and improving data quality across your contract portfolio. Required fields are clearly indicated in the contract creation dialog, so users know exactly what information is needed.
Enhanced Business Area Access Control on Contracts
We've refined how business area access work on contracts to improve access control and security.
Access-Based Business Area Selection: When setting business areas that control contract access, you can now only select business areas you have permission to access yourself. This prevents accidentally granting access to areas outside your own permissions.

This restriction applies only to access-controlling business areas on contracts. Standard business area selections elsewhere in the platform remain unrestricted.
Policy Linking in Task Documentation
You can now link directly to policies in task documentation instead of only attaching documents and links. This gives you quick access to existing policies without uploading duplicate files.

How it works: When documenting a task, select "Link policy" and choose from the policies that are already created under the menu item "Policies" in the platform. The linked policy appears in your documentation list, and clicking it takes you directly to the policy details.
This is particularly useful when referencing compliance policies or internal guidelines that are already maintained in the platform.
Processing Activity: Hide Transfer Name
We've added more granular control over transfer names on processing activities based on customer feedback.
New Permission: A new sub-permission now controls whether users can see and edit transfer names. This applies to all transfer types on processing activities and is set at the role level under Settings > Manage Roles.

System Notifications
We've improved how system notifications appear in the platform. Instead of only showing in the notification centre, system announcements now display as modal dialogs when you log in.
How it works: When there's a new system notification (such as release announcements or important updates), a dialog appears after login. Once closed, you won't see it again, but you can always find it in your notification centre if you need to review it.
This ensures you don't miss important platform updates.
