Policy Management 2.0 transforms how you work with compliance policies in the .legal compliance platform. With the new Policy Management add-on, you can write and edit policies directly in the platform, maintain full version control, see version history, link sections to your compliance controls, and distribute policies to recipients for sign-off.


Write and edit policies in the platform

Policies are created and edited directly in the platform, giving you full control over structure and content without leaving your compliance workflow.

Rich text editing

Write and format policy content using a built-in rich text editor. Add headers, body text, and bullet points, and organise your content into sections and subsections. Sections and subsections can be reordered at any time using drag and drop.

Import policy from document

Already have a policy in Word or PDF? Upload it and the platform will extract the sections from the headings and convert them into an editable draft, giving you a head start without starting from scratch.

Version control and publishing

Every change you make is tracked against the current version. When you're ready to publish, the platform shows you a summary of what's changed - sections added, removed, or modified - and you can review exactly what has changed before publishing.

When publishing you can choose whether the update is editorial or substantive, and the version number is updated accordingly:

  • Editorial: Language fixes and clarifications. For example: v1.0 â†’ v1.1
  • Substantive: Changed requirements or responsibilities. For example: v1.0 → v2.0

When you publish, a PDF of the policy is automatically generated and added under the Documents tab. A full version history is stored, and you can compare any two versions side by side or inline at any point.

Publishing does not notify anyone. Go to "Recipients and sign-offs" to distribute the policy and collect sign-offs.

Version history

The version history tab gives you a full log of every published version of a policy. For each version you can see the published date, approver, description of changes, number of related controls, recipients, and sign-off progress. You can also open any previous version to read the full content as it was at the time.

Link policy sections to your controls

Individual sections and subsections of a policy can be linked directly to controls in your active compliance frameworks. This means you always know which parts of your policies support which requirements, and you can see at a glance whether any gaps exist when a policy is updated. From a control, you can also see which policies are linked to it.

Distribute policies and collect sign-offs

Once a version is published, you can distribute it to recipients directly from the platform. Select existing users or add external recipients by name and email - they don't need to be users in the platform to receive and sign off on a policy.

The recipients and sign-offs tab gives you a full overview per version, showing each recipient's status, when the policy was sent, whether a reminder has been issued, and when they signed off. If someone hasn't signed off yet, you can send them a reminder directly from the platform.

A policy requires your confirmation email: 

When recipients have read the policy, they must confirm that they have read and understood the policy in order to sign-off.

Policies overview 

The policies overview gives you a clear picture of all your policies in one place. For each policy you can see the published date, responsible, approver, current version, number of linked controls, status, and sign-off progress. Filter, search, and save custom views to focus on what matters most to you.
