We're pleased to share the latest updates to the .legal platform. This release focuses on enhanced data export capabilities, more flexible risk assessment controls, and streamlined task workflows, along with several improvements to filtering and user management based on your feedback.
Improved "Export Complete Data Extract"
We've significantly enhanced the complete data extract functionality to give you more comprehensive exports across the platform. This is an admin functionality under Settings.
Flexible Export Options: When you initiate an export, you can now select which areas of the platform you want to include: processing activities, assets, contracts, policies, documents, or any combination. This gives you control over exactly what data you need.
Contracts: Contract exports now include much more detail beyond the basic contract data:
Policy Data Export: Policy exports follow the same comprehensive approach:
Documents: You can now export all documents from the platform, organised by area (contracts, policies, legal entities, etc.). The export maintains the folder structure for easy navigation and includes all document versions with both PDFs and original files.
This enhanced export functionality is particularly useful for any scenario where you need a complete snapshot of your compliance documentation.
Choose Your Active Risk Version: You now have full control over which risk assessment version is displayed across your platform. Previously, the system always showed the most recent risk version, but you can now decide which version should be active.
How it works:
This flexibility is valuable when you're not ready to apply the latest risk assessment across all areas, or when you need to reference a specific version for reporting purposes.
Track your active version: You can always see which risk version is currently active via the version dropdown on the "Risk" menu item.
Create Evaluation Tasks Directly from Evaluations: When evaluating a task, you may identify actions that require follow-up. We've made this easier by adding the ability to create a related follow-up task directly from the evaluation box on the primary task.
How it works: Simply click "Create evaluation task" within the evaluation section, and a new ad hoc task will be created with the following pre-filled information:
This saves time by eliminating manual data entry and ensures your follow-up tasks maintain clear connections to the original evaluation, making it easier to track the complete compliance workflow.
Rich Text in Evaluations: Evaluation fields on tasks now support rich text formatting and mentions, giving you more flexibility in how you document your assessments.
Enhanced Filtering and Search
We've expanded filtering capabilities across several areas to help you find information faster:
Contracts: Two new columns are now available in the contract overview: "Created" and "Last Updated". These timestamps make it easier to track recent changes and understand your contract timeline. The "Last Updated" field reflects changes to core contract data (excluding documents and contacts for now).
To use these columns, add them via the "Display" popup where you can customise which columns appear in your contract overview. Both columns are fully filterable, allowing you to quickly find contracts created or modified within specific timeframes.
Legal entities: You can now filter by tags, making it easier to segment and locate specific groups of legal entities.
Internal assessments: Year filtering has been added to match the existing external audit functionality, giving you consistent filtering options across both audit types.
User Management - Quick Business Area Selection: When creating or editing users with many business areas, you can now use the "Add all" button to select all available business areas at once, rather than ticking them individually.
New Document Status: Added "Signed" as a document status option for both contracts and legal entities.
New Legal Entity Type: "Service Provider" has been added as a legal entity type to better categorise your third-party relationships.
Bulk Legal Basis and National Law on Disclosures (Step 7: Transfer of Personal Data): When adding legal basis to multiple personal data categories on disclosures, you'll now see a popup asking if you want to apply the same legal basis and national law to all remaining categories. This saves considerable time when the same legal basis applies across many categories.
