We're excited to announce our latest add-on for the .legal compliance platform: Document Search & OCR. Whether you're managing processes, assets, contracts, policies, or other compliance documentation, finding the right information quickly is crucial. This new feature transforms how you access and work with your documents, making it easier than ever to locate specific content across the entire platform.
Powerful Document Search
Our document search functionality gives you full-text search capabilities across all your documents, regardless of where they're stored in the platform. You can search through PDFs, Word documents, Excel spreadsheets, and PowerPoint presentations simultaneously, with results that show you exactly what type of document you're looking at. This means less time clicking through folders and more time focusing on the work that matters.
We've added a "Documents" tab to the search bar. Switch to this tab and type in what you're looking for. You'll immediately see how many documents contain your search term.
Each result shows the document title at the top, followed by the version number and where it's stored (whether that's attached to a contract, policy, or elsewhere on the platform). Below that, you'll see a snippet of text where your search term appears, highlighted in yellow, along with the page number.
If your search term appears multiple times in the same document, you can expand the result to see up to the first 10 occurrences. For documents with more than 10 matches, please open the document to view all results.
Advanced Search Options
Prefix Search:
The search function supports wildcards and exact phrase matching to help you find precisely what you need. Use an asterisk * to search for variations of a word. Example, searching for compli* will return results for "compliance," "compliant," "complied," and similar terms.
Phrase Search:
You can also search for an exact phrase. Put the phrase in quotation marks (""). Searching for "data protection officer" in quotes will only show results where those three words appear together in that exact order, filtering out irrelevant matches.
Boolean Operators:
Use AND, OR, NOT (or +, - in simple syntax). Examples:
GDPR AND breach - must have both termscontract -template - has contract but not templateISO OR NIST - has either standardOCR: Making Every Document Searchable
Not all documents come in searchable formats, and that's where our OCR (Optical Character Recognition) technology comes in. Scanned documents and images that were previously locked away are now fully searchable. Upload a photographed contract, a scanned policy document, or any image containing text, and our OCR engine will automatically extract the text and make it discoverable. This means your entire document library becomes accessible, regardless of how the documents were originally created or stored.
Next Up
We're already working on the next enhancement to make your document workflow even smoother: document preview. Soon, you'll be able to view documents directly in your search results without having to download or open them separately. We hope this feature will create a seamless document management experience.
