We really do appreciate your feedback, and turning your good ideas into real features is something we take seriously. This release is shaped almost entirely by feedback that you've sent us. Internal assessments have a clearer structure and more flexible ways to send them, audits give you more visibility along the way, and you've got tighter control over templates and document access. Here's what's new.
When you're creating an asset and need to add a supplier partway through, you can now jump straight into creating that supplier as a full legal entity, then come straight back to exactly where you left off. Previously, adding a supplier from this step only offered a quick setup with the basics, name and country. Now there's also a "full creation" option that takes you to the supplier setup flow, lets you complete it, and returns you to your asset with the new supplier already linked.
This works the same way anywhere else in the platform where you create a supplier as part of another flow, including when setting up legal entities from a processing activity.
Internal assessments now live in three separate lists: Assessments, Assessment groups and Public assessments.
Under Assessments, you send an internal assessment to one contact at a time, exactly as before.
Assessment groups is new. It lets you send the same assessment to multiple contacts at once. Create a draft, then choose which contacts should receive it, much the same way audit groups already work for external audits.
Under Public assessments, you can create a public link to an assessment. Respondents open the link and get started simply by entering their name and email, so you don't need to add them as contacts in the platform first.
When sending an internal assessment, you can choose who receives it: a user within the platform, a contact created on one of your group companies, or a contact you create yourself on the spot. Contacts don't have platform access, but can still receive both internal assessments and policies. All contacts can be viewed and edited under Settings > Account Management > Contacts, so once a contact exists, there's no need to create them again.
When sending an internal assessment or policy, you can now add recipients by business area instead of picking them out one by one. Give a contact a business area when you create them, then when you're sending, select that business area and every contact in it is added at once. You'll still see the full list of recipients before you send, so you can check it, or remove anyone, first.
Evaluation column in the audit overview
You can now see, at a glance, how many of the questionnaires you've sent out have actually been evaluated, for example "8 of 10", based only on the ones that have been submitted so far. Anything still in progress doesn't count towards the total yet.
Notify contact when closing an audit
If you're closing an audit that shouldn't be answered, you can now notify the contact directly. This action sends an email to the contact stating that the audit is closed and no longer requires their attention. The email doesn't mention the reason that is given for the closing.
Evaluate excluded audits
You can also now evaluate a legal entity even after it's been excluded or have an auditor's statement registered, which wasn't possible before. These evaluations work exactly like any other, and still feed into your management reporting.
The users overview now has the same filtering and column display options already available elsewhere in the platform. You can also export your whole user list to Excel in one go, respecting whichever columns and filters you've currently applied. You can also now see, and filter by, when each user account was created, with a new column for it on the list.
When deleting a legal entity you can now see all its attached entities in the platform. That way you can quickly spot linked entities and the places that need resolving before a deletion can take place.
Contract documents can now be restricted to specific group companies within your organisation, the same way policy and legal entity documents already work. By default, a document stays available to anyone with access to the contract. If you need tighter control, for example because a contract involves agreements tied to specific parts of your group company structure, you can now limit a document to just the relevant group companies on that contract.
It is now possible to deactivate our standard asset and contract templates. Deactivated templates cannot be used to create new contracts and assets. Contracts and assets already created with the standard templates won't be affected.
