We're introducing AI Quality Scan, a new AI-powered feature that helps you assess whether your documents meet your organisation's best practice standards. Upload a document, select a reference template, and get an instant analysis of what's fulfilled, what's partially fulfilled, and what's missing.
Comparing documents against internal standards is time-consuming work. Whether you're validating contracts, policies, or processing activity documents, it often means manually reading through pages of text to check whether everything lines up. AI Quality Scan does this for you.
Imagine you're a compliance officer onboarding a new supplier. You've received their data processing agreement and need to verify it covers everything your organisation requires. Instead of working through the document clause by clause, you run an AI Quality Scan against your standard DPA template. Within seconds, you can see exactly which clauses are compliant, which need attention, and what's missing entirely – giving you a clear starting point for any follow-up.
The feature is available wherever documents appear in the platform, including contracts, processing activities, assets, incident log, and policies.
How it works: In any document tab you will see a column named "AI quality scan". Click the little AI icon in this column or open the overflow menu on any document and select "AI Quality Scan". Choose the AI quality scan template you want to compare against, then click "Compare". The scan runs automatically and returns a results list showing each requirement from the template, categorised as:
For each result, you can see both the reference quote from your AI quality scan template and the corresponding text from your own document, along with a recommendation for how to improve it.
If your document has multiple versions, you can switch between them using the version selector at the top of the results view and run new comparisons for any version that doesn't yet have one.
When you close the result list you can also see the results directly in the document list.
AI quality scan templates are the reference documents AI Quality Scan compares against. You can manage these under Settings > Master data > AI quality scan templates.
To create a template, give it a name and upload a reference document. The platform processes the document and stores it so it's ready for future comparisons.
AI Quality Scan is designed to guide and assist, not to make final judgements. Like all AI features in the platform, results should be treated as a helpful starting point rather than a definitive assessment. We recommend reviewing findings critically and using your own expertise to determine what action, if any, is needed.
This is the second feature in our new AI Features add-on, with more AI-powered capabilities coming soon. The add-on is currently free to use, but requires acceptance of our AI terms before activation.
The add-on can be activated by administrators on the plan side. Go to profile (top right corner) > See your plan > Step 2: Add-ons > Choose AI Features > Accept Terms and finish complete purchase. The Add-on is free but the flow must be completed in order for the add on to be activated.
